Uganda FAM Trip Terms & Conditions

By participating in the Uganda FAM Trip, all attendees agree to abide by the following terms and conditions. These guidelines ensure a professional, enjoyable, and productive experience for all participants and our hosts.

1. Participation & Professional Expectations

  • All participants must be actively engaged in the travel industry, specializing in sales and promotions related to Africa, wildlife, and adventure travel.

  • Attendance at the conference sessions is mandatory, with a minimum of 35 scheduled appointments over two days with industry suppliers.

  • Participation in the trade show is required to maximize engagement and networking opportunities.

  • Attendees are expected to observe a professional code of conduct, including respectful interaction with fellow participants, suppliers, and hosts.

  • FAM trips are not vacations; they are professional development opportunities designed to enhance participants’ ability to sell Uganda as a destination.

  • Positive promotion and positive reviews of the destination, accommodations, and experiences are expected as part of participation.

2. Payment & Fees

  • A non-refundable fee of $1,400 USD is required to participate in the Uganda FAM trip.

  • Payment must be made to Africa FAM Trips, which is responsible for the Buyers Club for the FAM and the conference taking place in May 2025.

  • Payment secures participation and covers accommodations, in-country transportation, meals, conservation and permits and scheduled activities.

  • We do not include travel insurance, alcohol, items of a personal nature, laundry or gratuities.

  • We reserve the right to alter itineraries according to availability, weather and other mitigating circumstances. Your choices have been noted and requests will be accommodated as much as possible.

  • The fee is non-refundable; however, an appropriate transfer to another qualified participant may be considered upon approval by the organizers.

3. Conduct & Responsibilities During the FAM

  • Participants are expected to be on time for all scheduled activities, including site inspections, meetings, and excursions.

  • The itinerary is strictly planned, and personal deviations from the schedule are not permitted unless pre-approved by organizers.

  • Accommodation is strictly double occupancyno single rooms are available on the FAM. Participants will be paired with another agent for lodging arrangements.

  • Social media engagement is encouraged throughout the trip to showcase Uganda’s tourism offerings. Participants should tag designated pages and use agreed-upon hashtags when posting.

  • Alcohol consumption should be moderate and responsible, and any misconduct due to excessive drinking will not be tolerated.

  • Respect the wildlife, local communities, and environments visited. Follow all conservation guidelines provided by guides and hosts.

  • A breach of these terms, including unprofessional conduct, failure to follow instructions, or non-participation in mandatory activities, will result in immediate removal from the FAM. The participant will be asked to return to their country at their own expense, and no further costs will be covered by the organizers.

4. Physical Fitness & Health Requirements

  • Participants must ensure that their fitness level is appropriate for the FAM activities chosen.

  • Gorilla trekking can involve up to 5 hours of hiking in mountain terrain, uneven grounds, and varying altitudes. Those participating must be physically prepared for these conditions.

  • Participants must disclose any medical conditions that could affect their participation. While first aid and emergency response plans are in place, individuals are responsible for assessing their own fitness levels.

  • A Yellow Fever vaccination certificate is mandatory for entry into Uganda and must be presented upon arrival.

5. Booking, Transfers & Cancellations

  • Once confirmed, cancellations are not permitted.

  • If unable to attend, a transfer of participation to another eligible travel professional may be considered with prior approval from the organizers.

  • Participants are responsible for any additional costs incurred due to last-minute changes or deviations from the itinerary.

6. Travel Documentation & Insurance

  • Participants must hold a valid passport with at least six months' validity from the date of travel.

  • Any required visas must be obtained in advance, and participants are responsible for ensuring they meet entry requirements.

  • Comprehensive travel insurance (including medical, trip interruption, and emergency evacuation) is mandatory. Proof of insurance may be requested before departure.

7. Liability & Acknowledgment of Risk

  • By participating, attendees acknowledge that travel involves inherent risks, including but not limited to outdoor excursions, wildlife encounters, and varying weather conditions.

  • Organizers, hosts, and associated partners are not liable for any injuries, illnesses, or losses incurred during the trip.

  • Participants agree to follow all safety protocols provided by guides and staff.

8. Agreement to Terms

By confirming participation in this FAM trip, attendees acknowledge that they have read, understood, and agreed to these terms and conditions. Any breach of these terms may result in removal from the FAM trip and a request to return to their country at their own expense, with no further costs covered by the organizers.

We are working with the UTB to support the Pearl of Africa Tourism Conference with specialist FAMS and during the conference you will be hosted by Uganda Tourism Board.
